Google Docs: Refreshed Documents list now rolling out

A refreshed documents list is currently being rolled out making it more useful to find, explore and share items. Here are some of the changes:

- New filters in ‘More options’ making it easier to narrow your search by type, visibility state and other criteria.

- A new preview panel on the right side of the document list showing a preview thumbnail, sharing settings and more. If the file is a video, you can start playing it directly from the preview panel or from the recently announced video player.

- To make it easier to view photos, you can now click on the magnifying glass on a photo to open a full screen slide-show viewer.

- A new view called ‘Home’. The contents of the ‘Home’ view are controlled by you so that the content you access the most often is easier to get to. You can remove files from the ‘Home’ view by right clicking the file and selecting ‘Don’t show in home’ to hide them. And when you need them, these files can always be found later by selecting ‘All items’ or using search.

- ‘Folders’ have been replaced by ‘Collections’ in the navigation bar. Collections are designed to combine the best features of labels and folders. A file can live in multiple collections, just like with Gmail labels. Collections can also be stored hierarchically, just like folders on your desktop. And of course, collections can be shared, just like you can share docs.

- Instead of checkboxes to select multiple files, you can now use your ‘Shift’ or ‘Control’ (Cmd on Macs) keys.

How to access what's new:
The new documents list is being rolled out over the next few days to domains whose administrator has enabled ‘pre-release features’ in the administrator control panel under 'Domain Settings'. It will be rolled out to all remaining domains shortly.

The following new features have been released to Google Docs:

Quick starring: You can now star documents from inside the document and not just the documents list.

Justify paragraph: This is now in the toolbar so no more need to use Format > Align > Justify

Sharing invitations: Now, when you share a document with others, all new collaborators are now included on the email thread. This means that when someone replies to the email in the thread, the other invitees will automatically see the message.

Desktop notifications for email and chat are now available for all Google Apps domains. These are HTML5 desktop notifications which display pop-ups whenever a chat message or new email arrives.

How to access what's new:
In your Gmail “Settings”, go to the ‘General’ tab and scroll down to the new ‘Desktop Notifications’ section. Click on the link to opt-in to this feature. Once enabled, choose if you want notifications just for chat, email or both. You can also choose just to be notified for email in Priority Inbox if you have that enabled.

Note: This functionality is currently only available for people using Google Chrome, but we’re working to make notifications part of the standard Web platform. This feature is available to domains with 'pre-release features' enabled in the administrator control panel.

- Connect your printer to Google Cloud Print. For now, this step requires a Windows PC but Linux and Mac support are coming soon. Google Chrome is needed to use Google Cloud Print.
- Sign in to your Google Apps mail account from your iPhone or Android browser and choose “Print” from the dropdown menu in the top right corner. You can also print eligible email attachments (such as .pdf or .doc) by clicking the “Print” link that appears next to them.

Google Apps administrators can now enable DKIM signing for all outgoing messages which helps validate outbound mail as being from that domain.

To add a digital signature to outgoing mail, you generate a domain key that Google Apps uses to create encrypted mail headers that are unique to your domain. You add the public key to the Domain Name System (DNS) records for your domain. Recipients can then verify the source of a mail message by retrieving your public key and using it to decrypt the header.

How to access what's new:
There are three major steps required to add the DKIM signature to all outgoing mail:
- Generate the domain key for your domain
- Add the public domain key to the DNS records for your domain
- Turn on authentication in the ‘Advanced Tools’ section of the administrator control panel

Note: If you purchased your domain from one of our registration partners while signing up for Google Apps, the first two steps are not necessary. Google will automatically generate the domain key and add the necessary DNS record when you turn on authentication.

For example, school faculty and staff can have unrestricted email access while students have the freedom to send and receive emails within the school community but are protected from unwanted email interactions with outsiders.

How to access what's new:
In the administrator control panel, select ‘Advanced tools’ and scroll down to the bottom of the page to see the new option ‘Restrict email delivery’. To restrict email to just within the domain, administrators will still need to add the domain name here.

Event timezones - You can now specify the time zone for a given event. You can even set up events which start in one time zone and end in another.

Previously this feature was only available to domains with ‘pre-release features’ enabled in the Administrator Control Panel.

How to access what's new:
Event timezones: Click the “Time zone” link to the right of the date and time fields on the event page. Events will appear on your calendar according to the current time zone you’re in, and when you change to your destination time zone they’ll be in the right place.
